Role:                   Administration & Communications Officer

Term:                  Immediate start until 31 March 2025

Salary:                £25,956 per annum (pro rata)

Location:            Remote / Film City Glasgow, 401 Govan Road, Glasgow G51 2QJ

Reports to:         Business Development Manager, FOCUS

Background:

The FOCUS programme at Film City Futures is looking for an Administration & Communications Officer to provide administrative, project and communications support. The Administration & Communications Officer will work closely with the FOCUS programme team and report to the FOCUS Business Development Manager on an operational basis.

Responsibilities – what you will do:

  • Coordinate & assist with the planning of meetings, events & workshops (online/in-person), including taking/distributing meeting minutes/setting up & overseeing Eventbrite ticketing pages

  • Create digital assets & social posts, proof content for online platforms, coordinate PR/website activities to ensure the FOCUS programme has visibility & profile

  • Timely & effectively publicise and communicate FOCUS programme developments & announcements, including news from FOCUS companies

  • Populate & manage the FOCUS database

  • Identify & communicate potential applicable opportunities to Scottish production companies

  • Document FOCUS programme initiatives to track progress & impact

  • Liaise with senior industry executives and provide support for speaker-led events

  • Provide administrative support related to invoicing & payment processing

  • Manage FOCUS programme general enquires

  • Identify, collate & analyse industry news/insights & summarise for e.g. reports, social media, FOCUS newsletter

  • Show a commitment to diversity, equality & inclusion

  • Keep all FOCUS programme information, creative content, participants’ names & work confidential

Person specification – what we need from you:

  • Experience of creating, populating & managing contact databases

  • Experience of planning, preparing & managing digital content/creating digital assets across & for social media platforms such as Twitter, Instagram, LinkedIn

  • Good understanding of software & online tools such as Microsoft Office (in particular Excel), Canva, Eventbrite, Foursquare, Google Drive, Mailchimp, Zoom; & an ability to learn and adapt quickly to new systems

  • Clear writing style and documentation presentation skills with attention to detail & experience of e.g. taking & writing up meeting minutes/contributing to evaluation reports

  • Clear, engaging verbal communication & interpersonal skills

  • Experience of organising & managing your own workload and juggling conflicting priorities effectively

  • Experience & confidence in working independently & remotely

  • Active interest in the Film, TV and Animation sector & the related business community

  • Experience of collaborating effectively in small and/or remote/hybrid teams

Desirable – please also tell us if you have:

  • A good understanding of the screen sector in Scotland & the UK

  • Experience in training & event delivery/management

  • Experience of legislation & compliance matters relating to data protection & the use & storage of project content

  • Experience of working in small teams on multiple projects and deadlines

  • Experience of public sector funded projects and/or business related projects

  • An understanding of Equalities, Disability & Inclusion data collection and/or project work.

Salary: £25,956 per annum, pro-rata.

Contract Terms: This is a part-time role of 22.5 hours per week (3 days/week) on a fixed-term contract until 31st March 2025 subject to performance review at the end of an initial one-month period. The contract may be extended subject to continued funding of the FOCUS programme.

Benefits: flexible working arrangements, 34-day holiday allowance (inclusive of approx. 9 bank holidays, plus birthday off if it falls on a working day) pro rata, employer pension contribution, creative, dynamic working environment.

Location: The FOCUS programme team works remotely through a hybrid structure. The FOCUS programme office is based at Film City Glasgow (401 Govan Road, G51 2QJ). There may be a requirement to work from the office some days of the week.
